Email Notifications
You don’t have to log in just to see whether something needs your attention. Email Notifications sends you (or anyone you choose) scheduled summaries of the things worth watching — invoices waiting for approval, payments that went to the bank, invoices that got paid, receivables still open, expenses awaiting a decision — on the rhythm you pick.
Navigate to Cockpit → Email Notifications to manage your subscriptions (requires the notifications permission).
What you can subscribe to
| Subscription | What the email tells you |
|---|---|
| Station Pending Invoices | Transactions waiting for approval on your workstations — see Approvals. You choose which stations to watch, and Notify me for narrows the type: All types, AP (Vendor) only, AR (Customer) only, or Other documents only. |
| Payments Uploaded | Every payment sent to the bank from Bank Payments since the previous email — set it to Daily so the person who authorises in e-banking learns promptly that a batch is waiting. |
| Paid Invoices | Customer invoices that received a payment since the last summary — the money-coming-in counterpart to Unpaid Receivables. |
| Unpaid Receivables | A regular digest of outstanding customer invoices — a standing reminder of who still owes you. |
| Expenses pending approval | Everything waiting for an expense decision on Manage Expenses. Requires the manage-expenses permission. |
Scheduling
Each subscription runs on its own schedule, so an urgent alert and a weekly digest can live side by side:
- Daily — every day.
- Weekly — pick the weekdays (say, Monday and Thursday).
- Monthly — pick the dates, including last day for a reliable month-end summary.
Every schedule also has a time of day, so the digest lands when you actually read mail — outstanding receivables every Monday at 08:00, for example, and payment summaries daily.
A new subscription sends its first email right away — to your own account address, and only if there is already something to report — so you can check the content without waiting for the schedule. After that, an email only goes out when there is something to report — a run with nothing new is skipped, which is why a quiet week produces no digest. The subscriptions list shows Last Sent for each subscription, and History opens every run with its status and the number of records included.
Recipients and language
By default the email goes to your own account address. You can set a custom recipient instead — useful when the summary should go to a shared mailbox or an external bookkeeper — and add CC and BCC addresses (each accepts several). Emails are written in your own account language; a custom recipient receives them in that language too, as there is no per-recipient language setting.
Permissions
Subscriptions follow your permissions: you can only set up a notification whose underlying data you are allowed to see — Expenses pending approval, for instance, needs the manage-expenses permission.
If a permission is revoked later, the matching emails stop automatically. A notification never becomes a back door to data its recipient may no longer see.
