Open Items
Two mirror-image pages answer the daily cash questions: Customers → Overview shows who owes you money and who’s late; Vendors → Overview shows what you owe and what’s coming due. Each requires the corresponding overview permission.
The four status cards
Across the top, four cards summarise the situation. Open and Overdue total the outstanding balance, Closed totals the amount of the settled transactions, and Overpaid totals the excess paid; every card also shows its transaction count, and all four follow your current search and filters:
- Open — invoiced, not yet due. Money that’s on its way.
- Overdue — past the due date. On the customer side, this is where to focus your follow-up — send the next reminder level in batch from Reminders; on the vendor side, what you should have paid already.
- Closed — fully paid.
- Overpaid — paid more than invoiced; worth a look either way (a double payment or a credit to settle).
The cards are clickable filters that toggle: clicking a card adds its transactions to the table, clicking it again removes them — so you can combine any statuses. The page opens on Open by default.
Graph view
The view toggle swaps the cards for Graph — a “Transaction Trends” line chart of the same series over time, with a Daily / Monthly / Quarterly / Yearly period toggle; the transaction table stays below the chart. The chart always plots all transactions — search and filters don’t narrow it. Use it to spot direction: is the overdue pile growing, is invoicing seasonal, are payments keeping pace?
Filtering and the table
A quick search box catches most needs; the Filters button opens the full set, and everything applies instantly: date range, customer/vendor multi-select, invoice number, document number (the number printed on the original document), order number, description, amount more/less than — plus any custom fields you’ve defined.
The table shows a status chip, Invoice # (links to the invoice), Date, the Customer/Vendor (links to their record), Description, Amount, Paid, Outstanding, and Due Date — shown in red once overdue. Links respect permissions: users only get links to pages they can open.
Actions
- Export XL (Excel) and Export PDF produce the current filtered list — an instant open-items list for your accountant or a call sheet for chasing payments.
- Customer Invoice (on the customer overview) opens a new sales invoice; Vendor Transaction (on the vendor overview) opens a new vendor transaction — so the overview doubles as a working start page for AR and AP.
