Tax Collected & Tax Paid
When a VAT account balance looks off, or an auditor asks which invoices make up a tax figure, you need the number broken down transaction by transaction. That’s what these two reports do: Tax Collected lists every invoice on which you charged VAT to customers (output tax), Tax Paid every one on which vendors charged VAT to you (input tax / Vorsteuer) — each grouped by tax account, over any period you choose.
They are the drill-down, not the filing: the VAT Report is where the Swiss MWST filing is reviewed, exported, and locked. Come here when you want to cross-check a single VAT account, reconcile one rate, or hand over a per-invoice tax breakdown.
Go to Customers → Reports → Tax Collected or Vendors → Reports → Tax Paid. Each side requires its own tax report permission — like all reports, the menu entry is hidden without it.
Choosing what you see
The Search Params panel opens expanded. Set a From Date / To Date, pick a Department if you use departments, and choose two things that shape the result:
Summary or Detail:
- Summary (the default) shows one row per invoice or transaction with the tax amount actually booked on that account. This is the figure in your books — use Summary whenever you’re reconciling.
- Detail breaks each document into its components: for invoices, the individual service lines with tax recalculated per line; for AR/AP transactions, the booked tax lines. Use it to see which services drove the tax — but because invoice lines are recalculated rather than taken from the books, Summary remains the authoritative view for totals.
Accrual or Cash:
- Accrual (the default) counts tax by invoice date — the agreed (vereinbart) basis, matching the standard VAT method.
- Cash counts tax by payment date and only includes invoices that are fully paid — the collected (vereinnahmt) basis. A partially paid invoice does not appear at all until it’s settled.
Under Tax Accounts, all your tax accounts are pre-ticked. Untick down to a single account to reconcile one VAT rate or just the Vorsteuer account. The accounts and rates themselves are configured under Taxes.
The column checkboxes control which columns the table shows — drag them to reorder — and your choices are remembered in your browser per report. Beyond the defaults (invoice number, date, description, customer/vendor, amounts), you can add ID, Address, Country, and Tax Number — the party’s VAT/UID number from their record, handy for an auditor’s listing.
Press Search to run the report.
Clear resets the filters but also unticks all tax accounts — and with no accounts ticked, a search returns nothing. Re-tick the accounts you need before searching again.
Reading the results
Results render as one table per tax account, headed by the account, with each row showing the net Amount, the Tax, and the Total. Every group ends in a bold Account Total row, and the last group adds a Grand Total across all accounts. All amounts are in your base currency.
The Invoice Number in each row links straight to the source invoice or transaction, and closing it brings you back to the report — so working through a list of questionable bookings is a matter of click, check, return.
Export XL and Export PDF appear above the results and reproduce the grouped layout with all totals — ready to attach to a reconciliation or send to your fiduciary.
What won’t appear
This is a tax listing, not a revenue listing: transactions with zero tax never appear here. For a complete list of invoices and transactions regardless of tax, use AR & AP Transactions.
