The Start Page

Signing in takes you to the start page — the hub in front of all your companies. From here you open the company (dataset) you want to work in, accept invitations to other companies, manage who has access to your own, and reach your personal areas: expenses, profile and support.

Your datasets

Every company you have access to is listed in the dataset table (on a phone, the table becomes cards). Click a dataset to open it and start working — it opens in a new browser tab, so you can keep several companies open side by side. Inside, you land on the Home Dashboard.

Column What it shows
Name The company, with its inbox email address underneath — forward a supplier invoice to that address and it lands in the company’s Inbox
Access Level What you are in this company: Owner, Admin or User
Users How many people have access
Pending Invoices waiting for your approval in that company. Click the count to jump straight to your approval queue there; companies without an approval workflow show a dash

Pending invites

When someone gives you access to their company, a Pending Invites card appears above your dataset list. Accept adds the company to your list; Decline dismisses the invitation. See Inviting Users for how invitations work from the sender’s side.

Managing a dataset

Each dataset row carries two actions for administrators:

  • Invite User — give a colleague access in a few clicks. See Inviting Users.
  • Manage Dataset — everything about who can do what in this company, organised in tabs:

Users See who has access; change a person’s access level or role (Edit User Access) or take their access away (Remove Access)
Roles Define the permission sets your team members work with — see Users & Roles
Invites Outstanding invitations that haven’t been accepted yet, with Cancel Invite
Backup Shown to the owner: download a copy of the company’s database and document templates for safekeeping

The owner can also remove the company entirely: Delete Dataset, in the menu at the top of Manage Dataset, permanently deletes the dataset and all its templates. It asks for your password and cannot be undone — download a backup first.

API keys

When another system needs to reach this company’s data without a person logging in, API Keys at the top of Manage Dataset issues it a key. Owners and admins can create one; it takes a label and is shown once.

Two things are specific to neoo and worth knowing before you issue one:

  • A key acts as the person who created it — it carries their permissions, and stops working if their access is removed.
  • A key only works in the company it was created in. Against any other it is refused.

The list shows each key’s Label, Created and Last Used. Delete takes effect immediately and cannot be undone; there is no way to disable a key, so deleting is how you retire one. You can delete keys you created.

Requests made with a key are recorded in the audit history under the key’s label.

Access levels at a glance

Access levels answer who may administer the company; day-to-day permissions come from roles. The details are covered in Inviting Users and Users & Roles.

My Expenses

A My Expenses tab sits next to your datasets. It is optimised for the phone, so photographing a receipt on the go is one tap away — everything about submitting and tracking expenses is on the Expenses page.

Notifications and personal settings

  • The notification bell in the header keeps you posted on your support tickets — new replies and status changes.
  • The gear menu holds your personal preferences: Dark / Light Mode, Language (saved and applied on every login), My Profile (your personal details, including payout details for expense reimbursements), Support (get help or report a problem) and Logout.
