Batch Jobs
When you email or print invoices in bulk, the batch runs in the background — you queue it and carry on working. Batch Jobs is where you check on those runs: live progress, how many emails went out, and the exact error for every one that didn’t. If a batch was queued by mistake, this is also where you stop it.
You’ll find it under System → Batch Jobs (requires the Batch Jobs permission); the screen is titled Email Batch Jobs. It shows the batches queued from Batch Email Invoices and Reminders — both the email sends and the bulk print runs. Runs of the AI document processing can show up in the same list; they carry no Job Name and no email counts, and need no attention here. The list refreshes itself every few seconds while a job is running, so there is no refresh button to look for.
Reading the list
Each row is one batch. Job Name is the Batch Name you gave when queuing it (or the default, such as Invoice Batch or Reminder Email followed by the date) — a reason to name batches something recognisable when you send them. Total, Success, and Failed count the emails in the batch, and the Progress bar shows how far along the run is.
The Status badge follows the job: queued while it waits, active while it is sending, then finished, failed or cancelled. The Progress bar, the Finished time and the Success/Failed counts show how far it got.
Checking what happened to each invoice
The three counts are clickable (Success and Failed once they are above zero):
- Total opens Emails to Process — the full recipient list of the batch, with each invoice number, email address, and customer name.
- Success opens Successful Emails — the ones that went out, with the time each was processed (Processed At).
- Failed opens Failed Emails — the same list plus an Error Message column with the reason for each invoice.
The Error Message column is where you diagnose a bounced or rejected send — most often a wrong or missing address on the customer record. Failed emails are not retried automatically: fix the cause, then send those invoices again from the screen you started from.
Cancelling and cleaning up
Two actions sit at the end of each row:
- Cancel — shown while a job is waiting or running. A batch that hasn’t started yet is dropped and never runs. One that is already sending stops after the document it is currently working on — nothing further goes out, but emails already sent are not recalled.
- Delete — removes the job from this list, nothing more: it doesn’t un-send any emails or touch the invoices. It can’t be undone.
There is no way to re-run a batch from here. To send again, go back to Batch Email Invoices or Reminders and queue a new one.
Print batches appear here like any other job, but this page offers no download — the finished PDF bundle is emailed as a ZIP to the Admin Email address you entered when queuing the job.
